This session focused on the introduction of a structured, project-based workflow system within Deep Funding circles, alongside broader discussions on compensation models, operational integration, and community alignment.
The proposed system introduces a dual-board structure: a main task board and a dedicated project board. All activities within a circle are expected to be anchored to defined projects, each with clear timelines, resource estimates (in hours), and associated budgets. Tasks are linked as subcomponents of projects, allowing for centralized tracking of effort, time spent, and overall project progress. This creates a single source of truth for execution and enables better visibility into performance, delays, and resource utilization.
A significant portion of the discussion explored the transition from hourly-based compensation to fixed, project-based budgeting. Contributors highlighted challenges with hourly tracking, including difficulty in accurately logging time, misalignment with quality outcomes, and lack of recognition for expertise. In contrast, project-based models were seen as promoting clarity, ownership, and outcome-focused delivery, though concerns were raised around scope changes, estimation accuracy, and evolving project requirements.
Participants acknowledged that a hybrid model may be necessary, where certain predictable or ongoing tasks remain hourly-based, while well-defined initiatives adopt fixed budgets. Additional considerations included introducing contingency buffers, improving project scoping (“prospecting”), and potentially creating governance mechanisms to handle budget adjustments when unforeseen requirements arise.
Operationally, the system is expected to integrate with the Operations Portal, ensuring synchronization of task and project data for analytics and reporting. The discussion also emphasized the importance of maintaining flexibility during the transition, allowing the system to evolve based on practical insights and community feedback.
Overall, the initiative represents a shift toward a more structured, accountable, and outcome-driven operational model, aiming to improve efficiency, transparency, and alignment across Deep Funding circles while accommodating the diverse nature of work within the ecosystem.
