DF All Hands [October Retrospective]

Summary

  • This retrospective All Hands meeting provided a comprehensive cross-circle update on activities, progress, and operational improvements across the Deep Funding ecosystem. The session reinforced the structure of monthly retrospectives as a space for accountability, where each circle reports achievements from the past month and outlines forward-looking priorities.

The Marketing Circle reported progress in standardizing brand voice through multi-region voice-over selections and advancing a coordinated educational video initiative. They also launched an internal communications workgroup to improve cross-circle information flow and executed targeted campaigns promoting the new “Explore” feature, contributing to increased user registrations.

The Analytics Circle focused on strengthening data-driven decision-making through social media performance reporting, survey-based evaluations of tools like OpenProject, and the development of structured feedback systems. Notably, they are advancing experiments with LLM-assisted proposal evaluation and building foundational data infrastructure (e.g., pipelines, BigQuery integration) to establish a “single source of truth” for ecosystem insights.

The Operations Circle emphasized process optimization and tooling improvements, including enhanced internal communications, updates to the Deep Funding manual (notably RFP documentation), deployment of a bonus request tool, and onboarding of coordinators onto an operations platform. They also reported progress in contract execution and KYC processes, alongside ongoing product and platform integrations.

    Other circles contributed domain-specific updates:

    • IT Circle focused on system maintenance, bug fixes, and early-stage data pipeline development.
    • Onboarding Circle explored engagement experiments, ethics framing, recruitment processes, and onboarding flow design.
    • Review Circle optimized meeting structures, advanced proposal review alignment (CRISP/pre-CRISP), and implemented milestone tracking automation.
    • Event Circle refined Town Hall positioning toward a more professional, developer-focused format and began work on open RFP systems and performance evaluation frameworks for community hubs.
    • Documentation Circle progressed on MKDocs automation and cross-circle documentation standardization.
    • Dev Outreach Circle reported mixed outcomes in onboarding efforts, alongside active campus outreach, hackathon planning, and ecosystem expansion experiments.

Overall, the meeting highlighted a strong shift toward systematization, data integration, and process maturity, while also surfacing ongoing challenges in coordination, recruitment clarity, and resource allocation. The ecosystem continues to evolve toward a more structured, scalable, and insight-driven operational model.
